Stages of the administrative process

An administrative process is that set of tasks carried out to achieve objectives in the most efficient way possible. The stages of the administrative process are adjusted to all types of activity, so it can be applied in any company or organization.

Phases and stages of the administrative process

This process is used to meet various goals. Each time all stages are completed a cycle within the process is said to end , so you can start over for a new goal.

The stages are divided into two phases : mechanical and dynamic .

Within the mechanical phase are the stages:

As its name follows, it is the stage in which what is going to be done is planned or decided. These are the small tasks that will start, develop and finish the project. The objectives, deadlines, costs, metrics to measure results, human resources , methodologies, risks and any other element that is related to the way of carrying out the work will be established.

Tasks are distributed among project members and more specific variables are established such as execution times, dividing or not dividing the group of project participants, who or who will be in charge of the team or teams, etc.

In the dynamic phase we find:

Even if it is a close-knit team, it will always be necessary for someone to lead the activities. It can be one or more people. Perhaps one directs the whole group, but other group directors are in charge of each area. The director (s) will be in charge of guiding, helping, participating, supporting and motivating everyone.

It is about the measurement and evaluation of the results of each cycle of the process. In each project there will be a series of metrics that must be followed by the team. In planning , what are the metrics that will be taken into account should be established, and at the organization stage, who or who will do the follow-up will be established.

Example of stages of the administrative process

Fictitious case of “Microtikk CA web services agency”.

This company will provide services focused on SEO, SEM, Social Media and web development.

A 150 m2 office will be leased to install work equipment.

Two web developers, two SEO / SEM experts and two social media experts will be hired. The board will have one person who will make most of the decisions and negotiate with clients, and will also organize everyone’s activities.

The services will be offered through the Internet: website, email, social networks and forums.

Eventually, the services of people will be available to keep up with accounting books, taxes and other responsibilities.

The departments of each service offered will be formed: SEO and SEM, social media and web development. In each department there will be a group leader who will report to the general manager. A commission is formed in charge of acquiring either buying or renting the machinery and buying the raw material.

One of the members of the social media department will be trained to generate strategies that help promote company services.

Every day there will be quick meetings to update information about the progress of projects.

Within a month, the first list of customer prospects must be completed, that is, the first e-mail marketing campaign promoting the services.

Some local businesses will be selected for face-to-face meetings to introduce interest in the services.

Department leaders will report to the CEO on progress and report if they have made or will need to make a change. In this initiation phase and in future stages.
